How to Write on a PDF Document

PDFs are a very useful form of documentation in that they can fill a variety of roles and be completed offline electronically or online in the cloud. Until recently, there were limitations to their use. When using PDFs, wif you don’t have a dedicated online PDF editor, you must physically print and fill the PDFs out. This can be time-consuming and inefficient, and there are alternative ways to write on a PDF beyond just printing and taking out a pen, and it is useful to explore some of these different ways to write on a PDF document.

When attempting to write on a PDF, the first thing to do is to always make sure you have the right PDF document or template. The next thing to do to prepare is to make sure all materials are available and ready to use. There are certain materials that are needed for writing on a PDF and these can be found in online PDF editors that you are familiar with, and/or a stylus that can be used to write directly onto the PDF. Once you have gathered all of the materials, it is time to write.

With all your materials set, it’s time to write on your PDF document. If you are filing in data in small boxes it might be a better type, but if you are writing on lines in your fillable PDF document then using a stylus might be the best way to insert the data you want. Writing on a PDF document means following all the normal rules of writing by hand. Try to write neat and legible so that others might be able to read it. The positive here is when you mess up, you can undo the error, while this is not so easy if you are writing with ink from a pen. Using a stylus means not just writing on the document but also circling, object, making notes, and many other things that could be done with a pen but is just easier when you have an electronic version to share with others.

1. Edit a document

Now that you are prepared, you can open your document in your PDF viewer and select the pencil tool (it might look different depending on the editor that you are using). You can use this tool to edit, write or make comments on the document. This is useful since you can circle boxes, add additional information or otherwise bring notice to something in the PDF by using this tool. In addition to this, you can use a typing tool and type text onto the PDF in order to complete a fillable PDF document. Using a PDF fillable form in an online PDF editor such as Lumin PDF or Adobe Acrobat is a great way to quickly fill in data and offer changes to others who might read your document.

While it is convenient to have an online PDF editor, a tool that can be very handy coupled with that is an electronic stylus which depending on what type of device you are using can be used to write directly on the document as if it were a pen. Writing on a printed document directly has the problem of not having an ‘undo’ button as we have on computers so the ability to correct mistakes is still available while having the flexibility and accuracy of a writing tool. Using a stylus can make life easier for those who are or will be viewing and/or working with the document since it brings a certain precision element that is not there when using a mouse to write onto a PDF template or fillable form.

If you need to compress or learn how to edit a pdf file, then I highly recommend sodapdf for this service. They are wonderful.

2. Review or approve a document on the go

An advantage of the PDF is the ability to edit them and this can be done anywhere! Although the past year has been difficult, one of the best lessons is that we must always be ready to adapt and to work from different locations. By using an online PDF editor to write directly onto a PDF document, you can share these changes (often in real-time) which is amazing and opens so many doors for you and your colleagues/peers. Whether you are going to a meeting or picking up kids from football practice, you can review and then approve a document.

Now that you have written what you need to on your PDF and approved it, it is time to send the PDF form to those who need to see it. This could be colleagues, peers, students, or clients. Being able to review and approve a document on the go is great but it does not end there as you can also send the PDF file to others on the go. While sitting in a parking lot, you can simply whip out your stylus, finish the document up and send it without having to be in your office. If you are using a PDF editor such as Lumin PDF you can do this live through Google Drive.

3. Sign a document

After writing on your PDF form, editing and sharing it. It is time to finalize it by signing it. It is important to sign a PDF document because depending on the nature of the document, it is not valid until it is signed. If you are signing a contract, and all parties want a copy, then a digital signature can be applied by parties and it can then be used as a legal document. There are a few ways to sign a PDF electronically. For one, you can make a special PDF signature which you can use to sign documents. Alternatively, you can use a stylus to sign the document like you would a paper document.
